Month-end checklist for field-service businesses on Jobber + QuickBooks
A review checklist for owners, office managers, and bookkeepers closing the month with Jobber and QuickBooks Online: revenue completeness, invoice and payment agreement, cost duplication, and open exposure.

Before you start
This checklist is a review sequence, not accounting advice and not instructions for changing settings in either platform. Work through it with your bookkeeper or accountant, and treat anything you find as an item to investigate rather than a number to correct blindly.
- Agree the period you are closing and stop editing operational records for it.
- Confirm both systems are showing current data for that period.
- Have one place to write down each difference you find and who owns it.
1. Revenue completeness
- List jobs marked complete in the period and check each has an invoice.
- For jobs invoiced partially, confirm the remaining work is intentionally unbilled.
- Check change orders and added parts made it onto the final invoice.
2. Invoice and payment agreement
- Compare invoice totals between the operational and accounting record, not just invoice counts.
- Look for invoices that exist in one system only.
- Compare payment status: paid, partially paid, and outstanding should agree.
- Note deposits and credit card fees that may explain a difference before treating it as an error.

3. Cost and margin review
- Scan for the same material or supplier cost recorded twice against one job.
- Review high-value jobs where recorded cost is far from the estimate.
- Confirm subcontractor costs are assigned to the job they belong to.
4. Quantify what is still open
Before declaring the period closed, total the dollar value of the differences you have not resolved. A single number makes it obvious whether the month is genuinely ready for review or simply out of time.
